Pay Range:   $65,000 - $75,000, DOE + benefits
Alaskan owned and operated architecture firm providing design and strategy services to the Alaskan community is seeking a dynamic and energetic Office Administrator with an established track record of progressively more complex operations and management experience. The Office Administrator will be the main point of contact for the organization and will be an excellent problem solver who demonstrates critical thinking and ingenuity in handling daily operations. The Office Administrator will be responsible for ensuring contract compliance with a variety of clients, vendors, and consultants, will represent the firm at public functions, will have professional public relations experience, and will handle operations flawlessly such that the architecture and design team can focus on the design work. This is a full-time, permanent position.

Duties and responsibilities:
  • General point of contact for clients and community on all business matters
    • ​Front line for all incoming inquiries, including cold calls about design work 
  • Public relations and business development
    • Represent organization at public functions
    • Follow up on business leads for firm
  • Contract review, compliance, and invoice reconciliation for:
    • Clients
    • Consultants
    • Vendors
  • General accounting understanding
    • Accounts receivable
    • Accounts payable
  • Light HR duties
    • Coordination of staff schedules
    • Interface with HR Administrator
    • Lead team building efforts
  • Oversight of vendors, vendor contracts
  • Occasional business development activities
  • Coordination of team building efforts
  • Coordination of proposal outsource, final review and delivery
  • Full Administration of company Operations 
  • Bachelor’s degree in business management, marketing, or design
  • Experience with general accounting and budgeting
  • Must be proficient with accounting and general office software
  • Experience with Deltek preferred
  • Strong interpersonal and conflict-management skills
  • Management experience
  • Detail-oriented with good organizational skills
  • Excellent communication skills, both verbal and written
